Define New Student Registration preferences

Aspen's New Student Registration is an add-on feature to the Aspen product. Contact your sales associate for more information.

Work with your Aspen Implementation Consultant to define your organization's New Student Registration preferences.

To define New Student Registration preferences:

  1. Log on to the District (Root Organization) view.

  2. Select District > New Student Registration > Preferences.

  3. Select your organization.

  4. The Preferences Details page opens to the Preferences sub-tab. Use the table to fill in the fields.

    Month for age calculation

    This field helps Aspen determine the appropriate grade level for new students. Enter the month your district uses to determine a student's appropriate grade level.

    Example: To begin kindergarten, some districts require a child to be 5 years old by September 1 of the school year. They would select September here.

    Day for age calculation

    This field helps Aspen determine the appropriate grade level for new students. Enter the day of the month your district uses to determine a student's appropriate grade level.

    Example: To begin kindergarten, some districts require a child to be 5 years old by September 1 of the school year. They would select 1 here.

    Copy documents to student on Acceptance

    This field can be used if your district (root organization) lets parents upload documents during online registration.

    If this field is enabled, any uploaded documents appear in the District (Root Organization) or School views, Student > Documents.

    If this field is left disabled, uploaded documents will still be attached to the student's New Student Registration record and workflow, but will not be accessible from Student > Documents.

    Note: By enabling this field, multiple users could view a student's birth certificate, a family's bank statement, or other private documents. If enabling this field, your district can set up security measures, such as yrecord-level security, to protect this information.

    Modify these preferences only after consultation with implementation resource.

  1. Click Save.

    Note: The New Student Registration feature sends out email notifications during the registration process. You customize the content of your district's email messages using message resources (New Student Registration side-tab > Preferences > Message Rsrcs). Contact your Implementation Consultant for assistance.
  1. For a convenient place to create your email messages, click the Email editing sub-tab. Type your text in the Email editing field, and then:

    1. Click Source.

    2. Copy the text.

    3. On the Preferences side-tab, click Message Rsrcs, and then select the message resource.

    4. Paste the copied text into the Value Long field.

    5. Click Save.
